Staff will not be able to use Illuminate report cards unless they have been given permission (links, access, etc.) to do so. Your District's Illuminate administrator can manage permissions (e.g., what users can access and do in the Illuminate system). This lesson will show how to manage report card permissions by role, but you may easily opt to complete the lesson for a site or user. Note that this is a generic recommended list and my differ based on your district needs.
Where to Start
- Click on the Admin Gear.
- Under Users, click Permissions.

1. Select Role or by Site and Role as the Permission Scope
2. Select Grades as the Module (i.e., menu of options) that you would like to use when defining permissions.
3. Click Load.
Teacher Permissions
The following permissions in the Grades module should be set to "yes."
- Grades
- Modify Student Grades
- Publish Grades
- View Grading Periods
- View All Student Grades
- View Grades by Section
- Edit Grades for Non-Enrolled Students
- Enable Other Comments
- Allow free text comment field on secondary school grades Note: This permission varies if your district is using predefined comments.
Principal / Site Admin Permissions
All of the above teacher permissions can be given as well as these additional permissions:
- View all Student Grades
- View Grade Modification Log
- Mark a Student Grade as a Repeated Grade
- Search by Grade
- Unpublish Grades
- View Grading Periods
- Manage Transcript Notes
- View Student Transfer Grades
- View Intermediate School Transcript
- Student Report: Total Earned Credits by Grade Level
- D, F, I Student Grades Report
- Search by Grade
- View the Principal's List
- View reports of student and teachers that have not received/submitted grades
- Mass Grad Checks
- Graduation Check
- View the Grade Counts by Section and Grade Counts by Teacher Reports
- View the Grade Counts by Course Report
- View Student Grade Audit Log
- View GPA Ranking
- View Student GPA
- School Announcements
Note: If you would like site admin or office staff to be able to create and link school announcements on a report card, but not have the ability to alter RC's in any other way, you can give them the 'School Announcements' permission.
System Admin Permissions
All of the above Admin permissions can be given as well as these additional permissions:
- Create Grading Periods
- Edit Grading Periods
- Delete Grading Periods
- Push Grading Periods
- View Available Grades
- Create Grades
- Delete Grades
- Edit Grades
- Delete Transfer Grades
- Modify Transfer Grades
- Manage Customizable Transcripts
- Edit Grading Period Overwrite Window
- Allow Grade Modification Outside of Window Note: This permission should also be given to any other user in charge of making changes to final grades.
