This lesson provides answers to common questions related to Student Program Tool for use in creating an SPRG upload to CALPADS. This is reference to the older tool.
How Does the SPRG Reconciliation Tool Work?
The idea is that you generate an SPRG ODS from CALPADS. From there, you also generate an SPRG file from Illuminate. You proceed to upload both those txt files through the tool. The tool will compare and match the SPRG records (per student, site, program, start date, end date) from one file to the other. Here's an example:
From CALPADS, Student XYZ has a 144 program at School A, starting on 8/15/2010 (no end date).
From Illuminate, Student XYZ has a 144 program at School A, starting on 8/21/2012 (no end date).
As you know, if you attempt to import our Illuminate SPRG into CALPADS, it's going to throw an SPRG error warning that there is multiple program enrollment because Illuminate's start date doesn't match the start date within CALPADS.
The reconciliation tool will match the Illuminate record with the ODS record. Once it's complete, Illuminate will generate an SPRG replacement file. Using the scenario of student XYZ above, we will produce an SPRG record that has student XYZ with a 144 program at School A, starting on 8/15/2010 and an End Date of 8/20/2012 (one day before our start date of 8/21/2012).
From the file comparisons, Illuminate will generate a reconciliation file for all students that match. Taking this newly generated reconciliation file and importing into CALPADS will update the existing record for the student in CALPADS to have an end date of 8/20/2012. Once the record has been closed, you can submit an SPRG from Illuminate and it will add the 144 program at School A with a start date of 8/21/2012.
