It is highly recommended users request all their items be migrated to the new Item Bank before attempting to duplicate assessments from the Legacy Item Bank to the new Item Bank. Requests should be submitted to the DnA Support Team.
Administrators can use the Bulk Assessment Duplication tool to duplicate many Legacy Item Bank assessments to the new Item Bank, and any user can duplicate individual assessments via the Actions menu or the Advanced dropdown menu. Duplicated assessments serve as an editable copy that can be revised and refined. Each duplicated assessment will bring over items whether they are user-created, publisher content, or a combination of both. However, some metadata does not copy over.
Individual Item Bank assessments are typically only available for the author to duplicate or copy in their own account. However, when shared to others, assessments can be duplicated if a user is given the "Can Share" permission. Once a duplicated assessment is reviewed, it needs to be published again in order to be available for sharing to others and administration to students. This lesson reviews how to duplicate Legacy Item Bank assessments into the new Item Bank.
Bulk Duplication
Bulk assessment duplication is a new feature available to DnA administrators to help organizations move their assessments from the Legacy Item Bank to the new Item Bank.
As administrators decide on which Legacy Item Bank assessments to include in the bulk duplication to the new Item Bank, we suggest the following best practices:
- Limit duplication to assessments that have been accessed and/or utilized within the last two years.
- Focus on assessments the district plans to use in the 2024-2025 academic year.
Before You Begin
Required Permissions: Assessment Admin, Illuminate Admin, Itembank Admin, OR System Admin role. Only users with at least one of these assigned roles will be able to view and utilize the Bulk Assessment Duplication tool. These users will be able to see all authored assessments across their entire DnA instance, rather than only those they have authored or been given share permissions to.
Where to Start
- Go to Assessments.
- Select Bulk Assessment Duplication.
Duplicate Assessments List
The Duplicate Assessments page is similar to the View Assessments page, with a list of user-authored Legacy Item Bank assessments, ordered by assessment title. Draft assessments will not be included in this list; only published Legacy Item Bank assessments will appear.
- Search assessment title keywords using the Assessment Title Search bar to narrow the assessment list.
- The search function only applies to assessment titles, and does not allow for a search by assessment ID or owner.
- Select Set Filters to further narrow the assessments list.
- The list of assessments available for duplication displays with the assessment Titles, each a selectable link navigating to the associated assessment.
- The ID column lists the assessment ID number.
- The Owner column lists the current assessment owner, usually the same as the assessment creator.
- The Date Created column lists the date the assessment was initially created.
- The Last Accessed column lists the date the assessment was last accessed, indicating if older assessments are still in current use.
- The Duplication Status column indicates the duplication status of each assessment.
- Duplicated - The assessment has already been successfully duplicated to the new Item Bank.
- In Progress - The assessment is currently in the process of being duplicated, and should complete within 24 hours.
- Failed - Duplication was attempted, but the assessment did not duplicate successfully.
- Blank - Duplication of the assessment has not yet been attempted.
Only assessments that have not yet been duplicated will be available for bulk duplication. Assessments with the Duplicated, In Progress, or Failed status can be duplicated on an individual basis if desired, to prevent unnecessary re-duplication.
Set Filters
Use the Set Filters option to narrow down the list of user-authored Legacy Item Bank assessments. The migration from the Legacy Item Bank to the new Item Bank is an opportunity to declutter the assessment list of old and unused assessments. It is recommended to only duplicate current, useful, and necessary assessments.
- Select academic years to include from the Year dropdown.
- Select Grades to include.
- Select assessment Scopes to include, such as school- or district-level assessments, benchmark assessments, etc.
The Year, Grade, and Scope filters are dynamic to the individual organization, and will only show the options that have been created or included for the organization.
- Select assessment duplication Statuses to filter to, such as assessments that have not yet been duplicated, or assessments that failed to duplicate.
- Select a Start and/or End Date for the assessment Date Created.
- Select Search to update the assessment search list with the selected filters.
- Select Clear to remove all selected filters.
- Select Reset to return the filter settings to their original state prior to the most recently added filters.
Duplicate Assessments
- The current Filters will display next to the Set Filters option. Select the X next to a filter to remove it.
- Select the checkboxes next to the desired assessments to duplicate. Check the box at the top to select all of the assessments visible on the page.
- Each page of the assessment list will show a maximum of 50 assessments, limiting each duplication action to a maximum of 50 assessments at a time.
- Assessments can only be selected and duplicated from one page at a time; users will need to select assessments and duplicate them before moving to another page.
- Select Duplicate.
- A confirmation window will appear. Select Duplicate to continue with duplicating the selected assessments. Select Cancel to return to the assessment list without duplicating.
Once the duplication process begins, the assessments will be processed within 24 hours. Check back on the Duplicate Assessments list to view the Duplication Status, and if the selected assessments are still In Progress, Duplicated, or Failed. Duplicated assessments will be saved to the Draft Item Bank.

Individual Duplication
Where to Start
- Go to Assessments.
- Select View Assessments.
Duplicate the Assessment via the Actions Menu
- For the desired assessment to duplicate, select Action.
- Select Duplicate.
- By default, New Item Bank will be selected in the dropdown menu.
- Any Legacy Item Bank assessment published to the new Item Bank will duplicate as Not Published by default. Therefore, the Not Published radio button will be selected by default.
- Select Duplicate.
Assessment metadata that WILL transfer:
- Description
- Subject
- Grade Levels
- Title
- Standards
Assessment metadata that WILL NOT transfer (and will need to be set/selected for the duplicated assessment):
- Academic Year
- Scope
- Weight of items
- Question Groups
- Item Tags
- Partial Scoring
- Performance Bands
- Extra Credit selections
- A confirmation message letting the user know the assessment is currently duplicating as a copy in the Draft Item Bank menu appears in the popup. Users can leave this screen at any time.
Access the Assessment Draft
- Select Draft Item Bank on the View Assessments page.
- Select the duplicated assessment. It will appear at the top of the list.
The new Item Bank version of the assessment will follow new Item Bank scoring functionality.
- Any Legacy items that did not carry over appear in the red section above the successfully migrated items.
- Select the different View icons to adjust the item layout.
- Select Standards to view standards of that item.
- Select Question Groups (optional) to add items to a premade grouping.
- If Question Groups have not been created, take a look at Enabling Question Groups on Item Bank Assessments to learn more.
- Use the slider to lock the item (optional).
- When an item is locked, it is only accessible to users with the permission Item Bank - Lock, Unlock, and Use Locked Items.
- Enter an item Weight into the textbox (optional).
- If the item type supports Partial Credit, select the Scoring icon to adjust to scoring type.
- Partial Scoring is OFF by default, and would need to be enabled for each item.
- This cannot be altered after the assessment is published.
- Take a look at Items Types: Overview and Best Practices for Using to view supported item types.
- Use the 3 dot menu to Edit, Duplicate, or Delete an item, or add Extra Credit.
- Select Done to:
- Publish the Assessment - Publishes the assessment. Only minor edits can be made.
- Save the Assessment as a Draft - Saves any edits made to the assessment draft. Additional edits can be made at any time.
- Discard Draft - Deletes the assessment.
The Academic Year and Scope, as well as Weight of items and Extra Credit selections, do not carry over in the duplication process, and will therefore need to be re-configured for the new Item Bank assessment.
