This lesson provides a detailed description of how to View, Edit and/or Delete Student Encounters within a Provider Case Load. For more information on managing a provider's case load, see the "Case Load Management" chapter in this manual.
For ISE Only Users select Medicaid -> Provider Case Load.
For Multi-product Users (DnA and ISE, ISE and ISI, etc.) select Special Ed -> Provider Case Load.
Note: Based on a user's permissions, additional links may be available. For those users with limited permissions, simply clicking Provider Case Load will open the Provider Case Load screen.
1. Utilize filter options to narrow search. Enter a few letters up to an entire Last Name, First Name, Role, and/or Site.
2. Click the Search button.
Note: Depending on the search specificity more than one Provider may appear. See the next step for information on how to Choose a Provider. In most cases, the Choose a Provider screen will not be available. Unless you are an administrator or have special permissions, you may only have access to your own Case Load.
Select the desired Provider by clicking on his/her name.
Note: Clicking the provider's name will automatically redirect you to the Provider Case Load screen where you can view all of the Active and Inactive students on your Case Load.
Click the Student link to access the student's encounter history.
Note: Clicking the Student link (i.e. the desired student's name) will automatically redirect you to the Student Encounters page.
1. Use the Search features to locate an encounter that does not meet the current filter default settings using the filters available and then select Update.
2. Click the link to the Student Encounter for which you wish to make changes (e.g., Monthly Progress Note, Provider Unavailable, etc.).
Note: Clicking a link to an encounter will automatically redirect you to the Encounter Details page where you can edit or delete Student Encounters.
Click the Edit button.
Note: Clicking the Edit button will automatically allow permissions to edit the Encounter Details page.
1. Make any necessary changes to the fields marked by a Red Asterisk.
2. When finished making changes click the Save button.
Upon successful save, a green dialog box indicating "Encounter has been saved" will appear at the top of the page.
Click the link to the Student Encounter you wish to remove. (e.g. Monthly Progress Note, Provider Unavailable, etc.).
Note: Clicking a link to an encounter will automatically redirect you to the Encounter Details page where you can edit or delete Student Encounters.
Click the Delete button to remove the selected encounter.
Note: A pop-up will appear asking for confirmation to delete the selected file. ONLY click OK if you are sure that you would like to PERMANENTLY delete the selected encounter.
Once you confirm the deletion of a selected encounter you will automatically be redirected to the Student Encounters page where you can View, Edit, or Delete additional student encounters.
