This lesson is intended to be helpful for those who would like to create group encounters. Logging group encounters is useful when providers wish to create a group of students who receive the same service.
Using the Add Group Encounter feature enables providers to quickly and efficiently log an encounter for all students in a designated group.
For more information on creating student groups, see the "Create, Edit, and/or Delete Provider Groups" lesson in this manual.
For ISE Only Users select Medicaid -> Provider Case Load.
For Multi-product Users (DnA and ISE, ISE and ISI, etc.) select Special Ed -> Provider Case Load.
Note: Based on a user's permissions, additional links may be available. For those users with limited permissions, simply clicking Provider Case Load will open the Provider Case Load screen.
1. Utilize filter options to narrow search. Enter a few letters up to an entire Last Name, First Name, Role, and/or Site.
2. Click the Search button.
Note: Depending on the search specificity more than one Provider may appear. See the next step for information on how to Choose a Provider. In most cases, the Choose a Provider screen will not be available. Unless you are an administrator or have special permissions, you may only have access to your own Case Load.
Select the desired Provider by clicking on his/her name.
Note: Clicking the provider's name will automatically redirect you to the Provider Case Load screen where you can view all of the Active and Inactive students on your Case Load.
Click the Show All tab.
Note: Clicking the Show All tab will display all of the students on your caseload and will automatically open the Provider Groups menu on the Provider Case Load screen.
Click the Add Group Encounter Link to add an encounter for the desired Provider Group.
Note: Clicking the Add Group Encounter link will automatically redirect you to the Encounter Group Logging page. For more information on Encounter Group Logging see steps below (Edit Encounter Group Details).
Click the Show Groups tab to open the Provider Groups page.
Click the Add Group Encounter link for the desired Provider Group.
Note: Clicking the Add Group Encounter link will automatically redirect you to the Encounter Group Logging page. For more information on Encounter Group Logging see steps below (Edit Encounter Group Details).
1. Select the Service Type from the Drop Down menu. Note: After the Service Type has been selected the required fields will show a RED ASTERISK.
2. Using the Date Picker Icon, select the Service Date.
3. Depending on the Service Type selected in Step #1 the Start Time/End Time option may appear. Indicate the Start Time/End Time using the provided fields and Drop Down menus.
4. From the Drop Down menu denote the student's Progress (i.e., No Progress, Slight Progress, Moderate Progress, Achieved, Not Applicable).
5. Select the Medical Area(s) form the Drop Down menu(s). An Optional Drop Down menu is provided for instances involving multiple Medical Areas.
6. Note a description of the Treatment, Service Type, and/or any additional Comments in the provided field.
7. Select the Diagnosis/Treatment for each student.
8. Enter the Group Number if the Service Selected is a Group Encounter Service Type.
9. Click Save.
Note: When entering multiple student encounters for all students you ARE NOT required to enter Encounter Group Details for all students. If you wish only to enter Encounter Group Details for a targeted number of students, simply enter details on students for whom you wish to log an encounter and click the Save button to record your selections.
Hint: The Pencil and Paper Icon will automatically fill down for an entire column allowing you to save time by quickly and easily applying a Service Type, Service Date, Start Time/End Time, and/or Medical Area(s) to all students on the screen!
1. A green dialogue box indicating, "Encounters were created for the following students: " will appear naming students (within the group) for whom an encounter has been created.
2. A yellow dialogue box indicating, "No encounters were created for the following students: " will appear listing students (within the group) for whom an encounter has NOT been created.
3. To return to your case load click the Provider Case Load link in the sub-navigation toolbar.
Hint: You can also add individual encounters or remove a student from a group in the Provider Group Details screen.
